Hide Advanced Modules

Quick Tip: Hide Advanced Modules



BizFusion can be quite an overwhelming system for new users.
You can restrict the number of modules a user sees by assigning her to a different user group.
Most users only need access to the “Sales Role” to accomplish most of their tasks in BizFusion.
Here’s how you assign a user to a new group in BizFusion.

1. Go to: “(Module) Partners > (Menu) Customers > Employee” and select an employee.

2. Click on the “Security” tab and add the user to the “Salesman” user group.

3. Remove all other user groups that the user is part of.

The salesman group has access to the sales role. This gives the user access to the modules:
“Partners”, “My Company”, “Logistics”, “Sales”, “Product” and “Purchase / Costs”.

The user needs to login again before the changes take effect.
She will immediately notice that all the advanced modules are now hidden.

We always suggest this tip to accountants and entrepreneurs that work together on a company’s
books. The entrepreneur doesn’t need to see the accounting related stuff.
The accountant can easily disable these modules by simply assigning the entrepreneur to a different
user group.

Void Invoices

Quick Tip: Void Invoices


How do you cancel invoices in BizFusion?
You cannot delete an invoice once it has been posted to the accounting module.
But you can “void” a posted invoice.
Open a posted invoice and click on “Document > Void” in the yellow status bar.
The invoice is now canceled.

Sequential Invoice Numbers
Why can’t you just delete an invoice?
Each posted invoice gets an “Invoice ID”. Tax authorities require that these IDs are sequential and
you’re not allowed to have any gaps in the sequence. That’s why you’re not allowed to delete an
invoice once it has been posted.

Accounting Magic
But what does voiding an invoice mean?
You can’t delete the invoice, but you can cancel the journal entry that was made for the invoice.
Voiding is a process where you create the exact opposite journal entry for the original entry.
You “debit” the debtor account when you post a sales invoice.
Debiting the debtor account means that we get money from the customer.
When you void the invoice, you “credit” the debtor account for the same amount.
We receive less money from the customer when we credit his debtor account.
By debiting and crediting the same amount, we “nullify” or “void” the invoice.
This effectively cancels the original invoice.

You thankfully never have to manually enter a journal entry in BizFusion.
This is all done automatically for you once you click on the “magical” post button.

I hope you liked this quick tip. Not a whole lot of people understand why you can’t just delete an
invoice and be done with it. But BizFusion is an accounting system, which means that we cannot just
delete your financial data. We hope that this little quick tip gave you some insight into why we can’t
just do that.

Segment Customers

Quick Tip: Segment Customers


It’s time for another quick tip. This time we’re going to show you how to quickly create a segment
from a filtered company list.

Step 1: “Go to (Module) Partners > Customers > Company” and filter the list on a value.
E.g. use the “advanced search” feature to only show customers in “California”.
You access the advanced search by clicking on the “magnifying glass” in the top right corner.

Step 2: Now click on “new segment” at the bottom of the company list and you can save the filtered
list as a segment. Call the new segment “Californian Companies”.
You can now use this new segment to mass email your Californian customers only.

Note, a segment is a dynamic list. If you add new companies that are located in California,
then your segment updates itself automatically. Likewise, the segment removes any company that is
no longer located in California.

For you tech geeks that are reading this, BizFusion doesn’t actually store the list. We only
store the filter that was used to create the list. That’s why the list/segment automatically updates the
data on Californian companies.
